Auto Notification Options

Assumption for this Quick Start Guide: You are using the Contact Manager wizard to setup automatic Email notifications and you are ready to select the specific notification type.

There are two notification options, E-mail Notification and Client Connect with Auto Notify.

E-mail Notification is an E-mail that is automatically sent out to your client with a hyperlink in the body of the E-mail. When clicked, your client will see listings that are new or changed that match the customers saved search. This hyperlink is active for 30-days from when it was sent.

Client Connect with Auto Notify is a password-protected web page where your client sees all of their “on market”, saved property search’s results without a time limit. Client Connect allows your clients to classify their search results into three groups: Favorite, Possible and Rejected. Your client can add comments to result listing that only you and your client can see. Your client can also send you an E-mail. Client Connect with Auto Notify description begins on page 3.

Notification Options allow you to select the type of Auto Search Notification you will send them.

E-mail Notification, when select, the E-mail notification modal will open. (See shown below)

For this section of this Quick Start Guide, we will start at the top of the E-mail template and work down.

Add recipients to your E-mail. Your client’s primary E-mail address was inserted into the To: field. (If you ever change your client’s primary E-mail address and their E-mail address is the only address in the To: field, Paragon will automatically update their Automatic E-mail notification.) If you wish to copy others on this E-mail, add them to CC: field. Your E-mail address is automatically inserted into the BCC: field, if you made the selection when you ran the Preferences Wizard.

Subject Line – Paragon will automatically include your client’s name in the subject line. You can change the subject line, if you want.

Result View – select the one property report you want to send your client in this E-mail notification.

Notification Options – you have two options: Immediate and Recurring.

  • Immediate – if a match is found when Paragon runs its matching routine every 15-minutes, an E-mail is sent to the E-mail addresses in the E-mail.
  • Recurring - for more details on Recurring, please see the Quick Start Guide titled Automatic E-mail Recurrence.

Default Message - your Default Message Body (added to Paragon when you ran the Preference Wizard) is added to the body of the E-mail. You can modify the message for specific clients, if you want.

E-card or Signature - to insert your E-card or E-mail Signature, click Insert E-Card/Signature.

When you have finished setting up your Automatic E-mail notification, click OK to activate the notification.

Note: In order for your client to see the initial set of matches you found when you setup your Saved Search for this notification, you must send them a manual E-mail. Click on the number of matches (4) and a spreadsheet of results is displayed. Click E-mail in the toolbar so you can send your client an E-mail. Select all listings in the options box. You can select and send up to five different property reports for this one-time E-mail with the initial set of saved search results.

Client Connect is a username and password protected web page. It is your web page. We recommend the first person you setup for Client Connect is you! By doing this, you will understand how Client Connect works and what your client will see allowing you to explain to them how to use Client Connect.

Below is an example of a Client Connect website after its customization using the Client Connect Preferences Wizard?

Client Connect Initial Setup for the first person you setup for Client Connect, you will be asked to setup your Client Connect web page address. You will probably want to complete the web page address with your name. You have one chance to set your web page address. Once setup, you will not see the following setup option again. If you make an error on the set up, don’t worry. E-mails sent by Paragon to your client will contain a clickable link and they will not directly see your website address.

In the field provided, Paragon will automatically insert your first name. We recommend you type your First and Last Names into the field making the web address uniquely yours. With your name entered, click Save Setup and Continue.

Client Connect setup page is displayed below. You will use this page for each of our clients.

As you activate Client Connect for your client, the only thing you will

Click the Notification Settings button. A screen is displayed as shown on the next page. Enter when you and your client want to receive E-mails from Paragon/Client Connect about new listings that match your client’s saved search or changes to listings already sent to Client Connect.

Client E-mail Options gives you two options for the message Paragon will send to your client.

  • Default – Paragon’s standard message that you can customize on a client-by-client basis
  • Custom – Create a custom message that is used instead of Paragon’s default message.

If you wish to copy others on these E-mails, add them to CC: field. Your E-mail address will automatically be inserted into the BCC: field, if you made the selection when you ran the Preferences Wizard.

At the completion of your setup for Client Connect notifications, click OK to apply your settings for this specific client.

Click Send Link to send your client an invitation to Client Connect.

An E-mail template is displayed, as shown below.

Note: The initial listings displayed for your client’s Saved Search Results are automatically sent to Client Connect for your client to review.

What your client will see after you send them an invitation to Client Connect.

When your client opens their Client Connect invitation, they will see the following:

  • “First time logging in? Click here to create your password.” When they click “here”, The Client Connect Registration page is displayed. (See below.)
  • “Click here to go to your Client Connect site.” This is for returning users of Client Connect.

They will also see that you sent them the E-mail because your E-Card/Signature is in the body of the E-mail.

First time users need to click on the first link. When they do, the Client Connect Registration page is displayed.

Client Connect Registration page after your client enters their password, confirms their password and clicks Set Password, they will see their initial saved search results in your Client Connect web page.

When your client’s offer to purchase is accepted, turn off the notifications.

Please do this for each of your clients for all types of Automatic Notification.

Open Contacts and click on View and Manage Contacts.

Click to open your client’s contact record.

Expand Search Activity and open the Saved Searches and Click Off for each saved search.
